The Transport & Safety Manager is responsible for overseeing the safe, efficient, and compliant operation of the school’s transportation system and transport/campus safety protocols. This role plays a critical part in ensuring student and staff well being, regulatory compliance, and delivering a high standard of service aligned with the values of an international environment at Stonehill International School. The Transport and Safety Manager reports to the Business Manager.
Key Responsibilities:
Transport Management
- Be the first point of contact for all transport related queries / issues.
- Oversee the daily operations of school transportation, including scheduling, efficient routing, and vehicle optimization.
- Liaise with the transport vendor(s) and ensure full compliance with contractual obligations, service level agreements, and school expectations.
- Ensure GPS tracking systems and student RFID/safety systems are functional and monitored.
- Conduct regular audits and inspections of vehicles for cleanliness, safety, and functionality.
- Coordinate regular training sessions and briefings for drivers and attendants on student safety, first aid, and school protocols.
- Manage communication with parents regarding transportation routes, delays, or changes.
- Maintain accurate records of transport operations, vendor payments, fuel usage, incident reports and all transport related documents.
- Prepare monthly MIS reports.
- Hire, train, supervise, coach and evaluate drivers and monitors.
- Roll out necessary google forms to parents for bus usage registration, collate responses and provide best service.
- Monitor transport tickets daily and close with resolutions within 48 hours.
Safety & Security
- Develop, implement, and monitor comprehensive school safety policies in line with local laws and international best practices.
- Oversee security personnel and systems (CCTV, access controls, visitor management, etc.).
- Conduct risk assessments and lead the school’s emergency preparedness initiatives (fire drills, lockdown drills, evacuation protocols) / evacuation plan upgradation & publications.
- Serve as the first point of contact for on campus incidents related to transport or safety.
- Ensure timely reporting and investigation of all incidents or near misses.
- Liaise with the school Property Manager, local police, fire, and emergency services as required.
- Conduct / coordinate health & safety training for all staff.
- Ensure on site vendors (short term & long term projects) follow safety protocols & highlight / tackle when non compliant.
- Night vigils for security check, which includes alcometer & alertness).
- Ensure all fire fighting equipment is up to date and functional.
- Monitor air quality check periodically.
- Check the reports of WTP/RO/STP/Pool for water quality.
- Periphery of campus to be regularly checked for threats and safety norms.
- Manage parking lots / private drivers and vehicles
- Oversee the discipline of the parking lot in line with the vehicle parking policy.
- Update the Property Manager and Leadership in case of any abnormalities & anomalies.
Compliance & Documentation
- Ensure compliance with all applicable government regulations (RTO, CBSE/IB norms, fire safety, school transport policy, etc.).
- Maintain up to date records of driver licenses, vehicle permits, insurance, fitness certificates, PCC of drivers and monitors.
- Maintain up to date records of background verification of all support staff including support staff.
- Liaise with the Health and Safety committee and provide regular updates to school leadership.
- Adhere to school policies and guidelines
- Ensure that biometrics access are up to date
- Addition and deletion of incoming and outgoing deployment within 24 hours.
Stakeholder Engagement
- Collaborate closely with the school’s leadership team, parents, administrative staff, and external vendors.
- Communicate clearly and professionally in all situations or emergencies.
- Promote a culture of safety awareness across students, staff, and service partners.
